This Privacy Policy explains how VoxaFox ("we", "us") collects, uses, and protects information when you use our website and services. VoxaFox provides two products: AI agents (knowledge-grounded chatbots and voice agents) and VoxaFox AI Recruiter (an AI-powered technical recruitment and applicant-tracking platform). This policy covers both. By using VoxaFox you agree to the practices described here.

We collect account details you provide (name, business email, phone number); the content you upload to power your AI agents (knowledge base documents); candidate data uploaded to VoxaFox AI Recruiter (CV contents such as name, contact details, work history, education, skills, and where present a LinkedIn or portfolio URL); and usage data generated as you use the platform (messages, interviews, analytics, logs).

We use your data to provide and improve the service, to ground your AI agents' answers in your own knowledge base, to parse and score candidate CVs against your job requirements, to run AI interviews you schedule, to enforce plan limits, to provide support, and to keep the platform secure. Content and AI output for one organization are generated only from that organization's own data, and are never used to build products for anyone else.

We collect candidate CV data only to provide applicant-tracking (ATS) functionality and to improve AI-powered recruitment features for the agency that uploaded it. To minimize the personal data we retain, uploaded CV files are deleted automatically once processing completes, whether it succeeds or fails; only the structured data extracted from the CV is kept in your workspace. Customers (recruiting agencies) are responsible for obtaining candidate consent where required by law before uploading a CV or inviting a candidate to an AI interview.

We do not sell, rent, or trade user or candidate data to any third party, for any reason. This includes not selling data for money, cryptocurrency, tokens, or any other form of consideration. Your data is used solely to operate VoxaFox for the organization that provided it.

Each organization's data is strictly isolated from every other organization at the database layer, so one organization can never access another's information. Data is encrypted in transit, passwords are hashed, and interview links are single-use and time-limited. We offer regional data residency options for businesses that require their data to remain in a specific region.

We use trusted infrastructure and AI processing providers to operate the service. These providers process data only as needed to deliver functionality and are bound by their own security commitments. We share the minimum necessary, and never for advertising or resale.

You can access, correct, export, or delete your data from your dashboard or by contacting us. Account owners can self-delete their workspace at any time from Settings. Candidates who wish to have their information removed should contact the agency that uploaded their CV, or reach us and we will coordinate removal with that agency. After deletion, data is removed in line with our retention practices and legal obligations.

We may update this Privacy Policy from time to time as our products or applicable law evolve. Material changes are reflected by updating the "Last updated" date on this page. Continued use of VoxaFox after a change takes effect constitutes acceptance of the revised policy.
